Frequently Asked Questions (FAQs)

Here are the questions that are often asked about school web sites. Where appropriate a direct answer is given, otherwise you will be directed to the appropriate section of this web site.

The questions have been grouped into categories:

Web Site of the Month

Our web site is brilliant! This Web Site of the Month is rubbish! Why isn't our site Web Site of the Month? (etc.)

Please read the guidance, including the questions and answers, on the Web Site of the Month pages.

Web Site Functionality

We would like our web site to use ASP/JSP/Cold Fusion/PHP/.NET pages. Can this happen at the moment?

Our web server currently supports PHP and MySQL which means that schools can now create their own databases. In addition to this there is the facility to use Server-Side Includes to simplify the process of assembling pages and perform other functions such as automatically date stamping pages. Read more about using Server-Side Includes on your Hertfordshire school web site.

Hertfordshire Schools Online

I've just filled in the form to add my school to the list of Hertfordshire schools online. Why hasn't it appeared yet?

The list of Hertfordshire schools online is maintained manually to ensure that any schools web sites added to it are checked and logged. Once you have filled in the Notification Form at the foot of the page then the list should be updated within the week, however staff absence and/or illness may delay this slightly.

Our school web site address has changed and the entry on the Hertfordshire Schools Online page is now incorrect. How do I let you know?

Fill in the Notification Form at the foot of the Hertfordshire Schools Online page and in the 'extra information' box give us the old URL along with the new one.

We've recently set up our web site and have put our contact details (including our email address) on our web page. Does this mean that we will get more 'spam' or junk email?

Most junk email is generated by programs which trawl around the Internet and collect email addresses from web pages and news groups. These email addresses are then the recipient of 'junk' emails. If you place an email address on a web page it's likely that sooner or later that junk email will be sent to it. The filtering on HGfL will take care of most of the 'spam', but you will need to delete any that does get through yourself.

Safety Issues

Could you please look at (this picture / these pictures) and tell me if they are suitable for a school web site?

We cannot give guidance on individual images - we would encourage you to look at the guidance on the Safe Use of Images and work through the accompanying examples. Evaluate your images in the light of this information and you should have a clearer idea of the suitability of them for publication on your web site. You are responsible for material published on your school web site.

I've sent out the permission letter to parents and have received a number of replies saying that images of certain children may not be included on the site. How can I manage this?

The most efficient way of managing a list like this is to hold it centrally (maybe on a computer in the school office) and publish it whenever an activity occurs which might require the use of the list. Treating it like a list of pupils with medical conditions, which can be taken by any member of staff when going on a school visit, means that each member of staff using a digital camera or digital video camera should be aware of those pupils who may not be photographed. If they are also aware of the issues about taking photographs - photographing groups rather than individuals, ensuring that pupils are dressed appropriately, then it's likely that you will have many images that can be used in your school web site.

Our school has an archive of digital pictures (scanned and taken using digital cameras) going back many years. How on earth am I supposed to 'vet' all of those photos?

It's often impractical to retrospectively check whether or not permission has been given to show pupils in older images. If they have left the school and a letter to parents was not issued while they were attending the school we would recommend not using images of such pupils - since permission was never given. Hopefully, by ensuring that staff (and pupils) are mindful of the issues when taking digital pictures or shooting digital video, you should easily be able to build up a library of useable images, which should make the need to use older ones redundant.

Dreamweaver

I've lost my Dreamweaver disk. Can I have another one please?

When the Dreamweaver disk and licence were supplied to your school, the accompanying documentation recommended that you keep the disk in a secure place. If you have lost the disk we regret that due to licencing restrictions it is not possible to supply you with a new one or loan you a disk.
You can buy the latest version of Dreamweaver from Hertfordshire Supplies. It is advisable to contact them before ordering in case they have any special offers available.

Can I install Dreamweaver on my school's network / a second computer with the licence you've supplied?

You will need to refer to the license agreement that came with the Dreamweaver software.
The Dreamweaver version 4 license is usually a one user-license and allows you to install one copy of the software on one computer only. As Dreamweaver 4 is no longer available to buy, in order to use it in more than one place, you will need to either re-install it on a laptop, or buy the latest version (available from Hertfordshire Supplies).

If you have purchased the latest version of Dreamweaver, it is likely that, under the terms of the licence, you will be allowed to install the software on your home computer as well as in school, provided you are the only one who is going to use it on both machines. i.e The software will not be used on two different machines at the same time! Please check the terms and conditions supplied before doing this.

There are newer versions of Dreamweaver out. Can we have one please?

The licence supplied is for Dreamweaver version 4 and not the newer versions (Dreamweaver MX, MX2004 or 8). If you are interested in using a newer version of Dreamweaver then you will need to purchase your own copy/copies (available from Hertfordshire Supplies). If you are in a secondary school and are looking to use Dreamweaver on a wider basis, you may find the Studio 8 Site Licence useful.
