The Contract Support Team, within Hertfordshire Contract Management Services, is on hand to help with any of your queries or provide any help you need with Cleaning, Grounds Maintenance, Catering and Service contracts.

We have a responsive, area based team of professional, technical and experienced staff who can provide advice and support dealing with all problems and queries promptly.

Contract Process

The tendering of contracts can be a long and drawn out process.
The Contract Support Team can take away the additional workload this may cause you ensuring that your establishment is meeting all necessary legislation and contract regulations. 

Contract Support will take care of:

1. Placing OJEU notices and following the correct EU directives
2. Handling contractor enquiries
3. Vetting prospective contractors
4. Carrying out Pre-qualification Questionnaires and evaluating returns
5. Putting together tender documents with all the required Terms & Conditions
6. Tailoring specification to meet your sites needs
7. Dealing with any contractor queries through the process
8. Evaluating the tender bids to provide a shortlist of those proposing Best Value
9. Organise presentations from prospective contractors
10. Award the contract
11. Provide a fully auditable contract

You can be involved as much or as little as you wish in the process.
We can also manage the contract for you providing the following:

1. Supervision of the transition period
2. Contract Handbook
3. Process invoices and direct debit termly
4. Termly/Annual Contract Support Officer visits
5. Support Officers will meet monthly with the contractor to ensure smooth running of the contract
6. Telephone support
7. Pursue complaints on behalf of the site

Building Cleaning

We can provide tailor made contracts to meet your own specific needs, taking away the work and worry of arranging cleaning services yourself.

We can also provide specialised cleaning services with free advice from our team and contractors with the specialist skills to carry out the work to a high standard at a reasonable price.

Caretaker Training New

We have a training course available for both caretakers and cleaning operatives which is BICs Certified.  The course lasts two days (lunch is provided) and covers Health and Safety (including COSHH), Chemical competence, Safe use of machinery, Buffing, Spray cleaning, Single solution mopping, stain removal and toilet cleaning.

We will be running a fully BIC's certified training course on 21-22 or 24-25 February 2011.

Courses will be carried out at the training centre in Sawbridgeworth and will cost £312.00

 In-house Service Support

If you have your own in-house service we can still provide support for you.  Our in-house support service includes an annual quality inspection and report, handbook and advice on all areas including equipment, materials, hours and specifications

Specialist Cleaning Services

We can arrange for all aspects of specialist cleaning services to be carried out from High Level Cleaning and Kitchen Cleaning to Stripping and resealing or sanding of wooden floors.

Window Cleaning

We currently have a window cleaning contract that has been tendered to cover all sites in Hertfordshire.  There is an allocated contractor for your area of the County who will provide as many cleans as you require at times specified by you throughout the year.  Invoices are also paid centrally and direct debited monthly.

Adhoc and emergency works can also be arranged if required.

Tree Surveys

Comprehensive visual surveys followed by a detailed report with prioritised recommendations; vital for health and safety on your site

Aboriculture

We can arrange for all aspects of tree work to be carried out by fully approved contractors who conform to current legislation

Site Development

We can provide advice, assist in design and introduce skilled contractors to undertake all forms of soft and hard landscape work including:

Planting, construction and improvement of quadrangles, patios, steps, pathways and seating, fencing for aesthetic and protective needs, or ‘grounds re-instatement following building work’, sports field, and drainage work, sports field design and construction.

Conservation and Wildlife

This is a very specialist area of development for your site which can provide many education and environmental benefits.  We can advise and help you select specialist providers in the field to ensure the best possible results when introducing a variety of features and activities into your site, for example:

Ponds, bog gardens, ecological land and wildlife management, wildlife trails, nurturing and encouraging of indigenous species from bats to butterflies.

Horticulture

Regular maintenance and a variety of one-off jobs including; grass cutting; litter picking; one-off site tidies; clearing old vegetation and rubbish.
