About

Reporting in Sims .net is a very powerful tool. Reports can be output directly to Word or Excel allowing you to use the features of those applications to further amend the results.

If you have not yet attended a reporting course and would like to, click here for dates of upcoming courses.

If you need help creating a report, please bear in mind that the helpdesk can only give you assistance when the volume of calls permits. We can often help you by email – contact us at sitss.mis@lea.herts.sch.uk

Hints & Tips

  • You can delete reports you no longer use by going to Report > Design, clicking Open an existing report then right clicking on the name of a report and choosing Delete from the shortcut menu.
  • When you run a report for Staff, you will get all Staff not just current staff. To get around this, you can add a filter for Employment end date is null. This will then give you staff without a leaving date i.e. current staff.
  • You can use Preview to select a particular set of students to include in a report. However you cannot save this set. If you need to produce a report more than once for the same set of students, you may want to create a User defined group instead. Instructions for this are available to download below.

Report Definition Files

When downloading report files (.RptDef), please ensure that you choose All Files as the Save as type NOT Winzip File or Compressed Folder/File. You can then use Reports > Import in Sims .net to import the file. Please refer to the document below entitled Downloading and Importing Report Files for further information.

Offsite Visit Reports Updated

Offsite Visit Forms

These reports enable you to populate County Standard Forms for Offsite Visits directly from Sims .net. In addition, the Financial Reconciliation can be populated and calculated as the formulas are embedded.

Prior to downloading the reports please ensure you have:

  • read the instructions for Downloading and Importing Report Files located above this table
  • download and read the instructions opposite prior to attempting to use these reports.

Behaviour and Exclusions Reports

SITSS - County Exclusion Letters and Forms

Prior to using these reports you must download the instructions for use. These reports allow forms X01 and X02 plus standard letters to be mainly populated from Sims.net for Fixed Period, Lunchtime and Permanent exclusions.

In addition the Information Form for Permanently Excluded pupils has been included. Please ensure that you make your school's modification to the letter and complete the blanks left by Sims.net. These forms can be attached to the pupils record using the Linked Document funtionality. Please refer to your manual for the detailed instructions as to how to link a document.

 

SITSS - Detention Register and Analysis

The Detention Register can be run for either single or multiple detentions. This enables the person taking the detention to record attendance and non-attendance. This report will appear in the Detention Focus.

 

Behaviour Analysis

Will enable analysis of behavioural data in a clear and easy to read format. Training courses for Reporting Analysis are available - please use the courses hyperlink for further information.

 

SITSS - Exclusion Comparision

These reports will allow you to compare reasons for exclusion year on year, term by term. Double click on the sheet tab and insert the Term - Autumn, Spring or Summer - to which the data relates prior to printing. The Pivot Field Data List has been left visible to enable greater manipulation of the data.

 

Data Collection and Record Sheets

Data Collection and Record Sheets with Medical Information

These reports files contain Data Collection and Record Sheets with Medical Notes and Medical Conditions. Please read the document for an explanation of the reports. A blank Data Collection sheet is also available for download Click Here.
These new versions supersede any previous SITSS Data Collection and Record Sheets you may have imported and contain a number of enhancements, including the new First Language and Mode of Travel options, and can only be used after the November upgrade has been applied.

Alternative Data Collection Sheets

Some schools have reported speed problems with Data Collection Sheets. These alternative reports, found in the Data Collection Focus in the Report Browse, should run more quickly. After the December upgrade, they can also be run directly from a Student record by clicking the link for Data Collection Sheets in the Links panel. However, not all fields are currently available to include in these reports (e.g. First Language is missing).

Misc Class Lists

If you have previously downloaded other class lists, you may find that you now have several copies in your report browse. Please ensure that you run the MOST RECENT version. If you wish, you can delete the older versions (see Hints and Tips above for how to delete a report).
SITSS Class Lists

These are class (reg group) lists sorted alphabetically and by DOB, with a blank column, and will appear in the Group Focus (apart from the Excel versions which are found in the Student focus). These new versions use the Preferred Forename if one exists.

Class Lists with Contact Details

This file contains class lists with address and contact information. It contains 3 reports:

  • SITSS - Class + Address + Contact Pr 1 gives details of contacts with priority 1 only.

  • SITSS - Class List + Contact Details lets you specify the contacts' priority

  • SITSS - Whole School Contact List gives contact and address information for the WHOLE school in alphabetical order.

All of these reports will appear in the Group Focus.

Mailing Point Reports

This file contains 3 reports

  • SITSS - Class List by Mailing Point gives you a list by reg group of those pupils who are the mailing point for their family (provided you have set the mailing point for oldest or youngest child), and is found in the Group Focus.

  • SITSS - Mailing Point Check lists any pupils that may have been missed when mailing points were set, and is found in the Student Focus.

  • SITSS - Class and Mailing Point Numbers is a handy report to keep by the photocopier as it lists totals and mailing point numbers for each reg group, and is found in the Group Focus.

SITSS - Weekly Reading Record

This gives class lists with 5 blank columns headed Monday to Friday, which could be used as a tick sheet, and is found in the Group Focus.

Class List with Medical Information

This lists by registration group those children who have either dietary needs or a medical condition or a medical note.

Class List for Register

Some schools have asked for a simplified class list with address information for the registers. This report, found in the Student Focus, lists names with home address and telephone no. plus the Parental Salutation. Each class should fit onto just one page

Contact Checking Reports

This file contains 4 reports (all in the Student Focus) that will help you check a whole series of issues regarding contacts, addresses, parental responsibility and correspondence. Please see the document alongside for a complete explanation of what each report does, and what to do when issues are identified.

Certificates

This file contains 2 reports that produce certificates - one for good attendance and one for birthdays. Both are found in the Student Focus.

Tick Grid Reports

These are a new type of report which have a similar look to the Students Bulk update screen, in that they are a grid with ticks (hence the name!). They work with either Excel 2002 (XP) or 2003, not NOT with Excel 2000. You may wish to organise these reports into a Category (see instructions for using Categories under Documents to download above). They are all found in the Student Focus.

Ofsted Report

This has been updated to include more data to analyse.

This is an analysis report which you may find useful for Ofsted. Please read the document below for information on how to use the report.

SITSS - Leavers' Ethnic and Cultural Info Report

This can be used to show ethnic/cultural information for pupils who have left, and is found in the Student Focus.

Photo Reports

This file contains 3 reports:
SITSS - Class Photos, found in the Student Focus, which works for Reg groups
SITSS - Class Photos, found in the Group Focus, which also works for Reg groups but sets all photos at the same size
SITSS - Teacher Class Photos, found in the Group Focus, which works for teaching classes and prompts for teacher name as well as class name

House Lists

This contains 2 reports: SITSS - Class List with Houses and SITSS - House List, both found in the Group Focus.

SITSS - School Roll Book

This report, found in the Group Focus, lists details required by the DfES for a School Roll Book. It has a filter for Admission Date (not admission number as with the Capita version).

 

Name Badges

Many schools have requested labels with names or names and reg groups. Choose the file with the correct Avery code for your labels. All of these reports will appear in the Student Focus.

 

SITSS - Address Analysis

This report, found in the Student Focus, allows you to analyse numbers of pupils in different postcodes, towns or counties. Once in the Analysis window, change the row to Postcode, Town or County as required. To print the results, click the Copy to Excel button to put the information in an Excel spreadsheet.

SITSS - Weekly Diary

This report, found in the Diary Focus, allows you to print out a list of events for a particular week. You will be prompted to enter a date range - enter the date of the Monday and the date of the Friday of the required week

Mode of Travel Reports

This file contains 4 reports:

SITSS - Modes of Travel Grid and SITSS - Modes of Travel Grid by Reg which are tick grids with Grand Totals, and SITSS - Modes of Travel Numbers which gives a summary of the numbers for each type of travel. These 3 reports are all in the Student Focus.

SITSS - Modes of Travel List gives a list of names for each type of travel and is found in the Group Focus.

Reports for Parents' Evenings

These two reports may help secondary schools with Parent/Teacher consultations evenings.
SITSS - Teacher List for Parents Evening (found in the Student Focus) gives a page per student with a list of subjects and teachers, plus a blank column to enter appointment times.
SITSS - Teachers for a Year Group (found in the Staff Focus) lists all teachers with their classes for a specified year group.

 

 

Assessment Reports

SITSS Results Reports

This reports download contains the report definition for three SIMS .net reports that have been designed by SITSS to show students results. There is one for Key Stage Results, one for Examination Results and one that shows all results held in Assessment Manager for a named student.

Attendance Reports

SITSS - EWN1 Form

This report generates an EWN1 form for leavers, which is required by your Educational Welfare Office. Please read the document before running the report, as it describes how to use the report and also gives the addresses of the Educational Welfare Offices.

SITSS - Absence Sessions in a Date Range

This report is designed to helps schools complete the Persistent Absence Data Collection.
