Office Backups
Maintaining a regular backup schedule should be one of the highest priorities
for any School Admin Staff, SITSS recommend to:
- Check backup log daily and report any errors
- Keep at least one recent backup off site
- Store media remaining on site in a secure location
- Maintain a Monthly backup schedule
If your backup is configured to backup to a server, rather than to a
tape or disk, the person responsible for the server backup will be able
to confirm this for you. However you must still check the backup log on
your PC.
A monthly backup schedule consists of a tape for each day Monday – Thursday
and using 4 or 5 Friday tapes in rotation, this enables the recovery of
data from up to a month ago.
How to Check your SITSS Backup Log:
- You should have an icon on your desktop called ‘View Backup
Log’, double-click on this icon and the last backup log will be
displayed.
- Near the top of the log you will see a line that relates to the time
and date. Make sure that this time and date is what you would expect
for your last backup.
- In the middle of your log file, you will find a section advising that
the backup has completed and information on the time, number and size
of files backed up.
- At the end of your log file, you will find a similar section to above
confirming verification status of the backup. The important information
to check here is that there are no different files.
- If you have a blank log, an error report or you are unsure on the
information displayed in the log file, then please do not hesitate to

General Information:
- Manual or Scheduled – Your backup will either be configured
to run automatically (usually at night), or you will have an icon or
your desktop which you must double-click to run the backup.
- Backup to Server – The SITSS Backup will be copied to an area
on the server; this area will then be included on the servers scheduled
backup. To confirm this, please contact your Network Manager or Support
Provider.
- AIT Backup – AIT is the latest backup device, tapes should normally
last for 3 years and the drives do not require regular cleaning. A light
on the drive informs you if cleaning is required.
- DDS Backup – Tapes normally last for 1 year and the drives require
cleaning on a weekly basis. Failing to clean the drive on a weekly basis
can void the warranty on the drive.
- Zip Backup – The smallest of the backup devices and no longer
recommended, 750mb drives are only currently useable in schools with
less than 100 pupils. SITSS advise any schools still using a Zip Drive
to budget for a new backup device in the near future.
